Sold out, still shoppable: how stock-aware looks maintain themselves

A plain-English guide for merchandising and stock teams · ·

A styled look is only as good as its least available item. When one bag in it sells out, a hand-built look becomes a dead end until someone notices and swaps the bag. A complete-the-look widget that checks stock for you means nobody has to.

The short version

The upkeep nobody plans for

Hand-built looks are quick to launch and slow to keep up. Every look is a small, ongoing job: when something in it sells out, someone has to notice, choose a replacement and edit the look. Ten looks is a habit. Five hundred is a weekly task on someone’s list. A whole catalogue of them is a job.

And the problem is silent. Nobody reports that the look on a product page is still suggesting a bag you ran out of on Tuesday. The shopper just reaches a sold-out item, loses interest and leaves. The only sign is a conversion rate that’s a little lower than it should be.

How it works: backups, not a fixed list

The fix isn’t checking looks more often. It’s a look that was never a fixed list of products in the first place.

Each item in a look (the shoes, the bag, the jacket) comes with a short list of backups from your catalogue. They’re ranked by how closely they match. The app decides which one to show when the page opens, not when the look was made. That one choice is what turns stock from a chore into something you don’t have to think about.

What happens when something sells out

  1. The app notices. A sale is picked up the next time the app re-checks your catalogue, which happens about every 6 hours. Archiving or unpublishing a product is picked up straight away.
  2. The next-best backup takes its place. Because the backups are ranked by how well they match, the replacement is the closest alternative, not a random product.
  3. If nothing for that item is in stock, it’s left out. Shoppers see a slightly shorter look instead of something they can’t buy, and the rest of the look keeps working.
  4. When it’s back in stock, it can appear again by itself. There’s nothing to rebuild and the AI doesn’t need to run again.

The same check covers something merchants often miss: a product you archive or take off your Online Store has no product page any more, so suggesting it would send shoppers nowhere. A product only shows in a look when it’s Active, in stock and on your Online Store.

What your team no longer has to do

The useful part isn’t that sold-out items get swapped. It’s the work that disappears:

That last point is the one that changes how you staff merchandising. The more hand-picked looks you have, the more upkeep they need, and eventually that means more people. Looks that check their own stock don’t need any upkeep, so the work doesn’t grow with the catalogue.

Do it with Shop The Look

Merch - Shop The Look works exactly this way. The AI spots the outfit in the product photos you already have and finds each item in your own catalogue. Every time a product page opens, it shows the closest match that’s in stock. It leaves out an item when nothing for it can be bought, and restocked products come back by themselves. You can review, edit, reorder or swap any look before it goes live, and a “You may also like” row is included on every plan. It’s added to your theme with no code and stores no personal data about your shoppers. The AI works in the background, so your product pages stay fast. Frequently asked questions

Will the widget ever show a sold-out product?

Only briefly. A sale is picked up the next time the app re-checks your catalogue, about every 6 hours, and then the next-best backup takes its place. Press Refresh from Shopify on the app’s Home page if you want it checked straight away.

What if every backup for an item is sold out?

That item is left out of the look. Shoppers see a slightly shorter outfit instead of something they can’t buy, and the rest of the look still works.

Do I have to rebuild looks when stock changes?

No. The AI looks at each photo once. Which product shows is decided each time the page opens, and a product that comes back in stock can appear again by itself.

Is stock checked per size or per product?

Per product. A product with some sizes sold out can still be bought, so it stays in the look. It only drops out when the whole product is sold out, archived, or taken off your Online Store.

How quickly does a sell-out take effect?

Archiving or unpublishing a product takes effect straight away. A sale, such as the last unit selling, is picked up within about 6 hours, when the app re-checks your catalogue. Press Refresh from Shopify if you don’t want to wait.
